If the building uses contractor permits or booked access, identify who arranges them and which doors the instruction covers. Preserve report references through the maintenance record. Any door not reached within the agreed visit should remain visible as outstanding, with the reason recorded for follow-up.

For managed premises, give the building name, floor, tenancy and route used by contractors. Include reception or delivery requirements already issued. A general postal address may not identify which doors are included or who can authorise work within a particular occupier’s space.
